We have to admit… there was a moment when we wanted to call this our Virtual AIR Service, but “appointment, intake, referral” is a bit backwards from the way it all usually works!
In any event, Heritage Health Services (HHS) is now providing referral, intake and appointment services on a virtual, on-call basis for two of our very busy therapist clients. It’s a much needed relief for those clinicians, who find themselves responding to information or appointment requests either early in the morning before their scheduled clients arrive, or late at night after their last scheduled appointment of the day – or during what’s supposed to be a lunch, time-to-breathe, break. And too often, on weekends as well.
As of August 1st, from 7:00 am until 7:00 pm, Monday through Friday, HHS will respond to all requests for information, provide telephonic or internet-based intakes or waiting list details, set up appointments, send out client opening doc packets, and at the end of the day, pull together a summary of it all for our clinicians.
Since the goal is to keep our own clients’ phones and email from blowing up with the constant calls, texts and other contacts, their office phone numbers will no longer be published on their websites. Heritage Health Services’ number will be, instead.
We can also meet with your clients at our offices to complete intake paperwork and explain office policies. We do follow best practice guidelines from the CDC and State of Maine regarding the pandemic. (We have a warm and inviting – if rarely used lately – waiting room!)
If you’d like to spend less time on the phone fielding information requests, setting up appointments or following up with missed appointments (or with people who haven’t been in for a while), give us a call at 207-740-2247. We can tailor the service to meet whatever need you have, whether it’s 1 hour or 100 hours a week, just during vacations or other planned downtime (e.g. recovering from surgery, family emergencies, or other times when you just cannot be available)!
